1. Digital Data & Backups

  • Verify Off-site Backups: Ensure your critical data has been synced to the cloud in the last 24 hours.
  • Test Recovery: Perform a test restore of a few files to ensure the backup data is valid and accessible.
  • Secure Local Backups: If you have local USB drives or NAS units, ensure they are elevated off the floor and away from windows.

2. Power & Hardware Protection

  • Check UPS Units (Battery Backups): Ensure all servers and critical network gear are on functional battery backups with surge protection.
  • Graceful Shutdown Plan: Know how to properly shut down servers if power is expected to be out for an extended period.
  • Unplug Non-Essential Gear: If an office closure is expected, unplug workstations and printers to protect them from grid surges.

3. Communication & Remote Work

  • Update Voicemail/Auto-Attendant: Have a plan to remotely update your phone system greetings to inform clients of closures or delays.
  • Verify Remote Access (VPN/Cloud): Ensure employees have the necessary tools to work from home if the physical office is inaccessible.
  • Emergency Contact List: Maintain a printed or offline digital copy of staff and vendor contact information.
